You have a great idea for your ministry. There is plenty of appeal, and the event scratches the right itch, a clearly defined need. But on game day, the numbers are underwhelming, people have not signed up, and all the food you ordered is going to the youth group.
“We posted it on our website and ran it on social media a couple of times—what happened?” In marketing, this is called the “Rule of 7”—your audience needs to see and hear something seven times before it registers. And that is just as true for a ministry event as it is for a car commercial.
Engage the media. Local newspapers, radio, and TV are always looking for compelling stories, especially content that is prepared for them. If you provide that, you will see your story get front-page attention and airtime. If you are aiming for a bigger footprint, send that compelling story to regional or national media.
When you draft the story, think beyond who, what, where, and how. Spend time on why—why should people be more interested in your fundraising concert than another concert? Find a compelling narrative around your event. One of the musicians used to tour with a well-known band. The lead singer has battled health problems in the last year.
Interview that person and write a story. If you do not feel capable of crafting a media-ready story, just do an interview question-and-answer style, have the interview transcribed, and submit that content to a free AI tool to create a first draft story. Write a prompt for the AI tool akin to this: “Use this question-and-answer content to create a public relations story.” Make sure you include email and phone information, so the media know who to contact. Post the story on every channel you own—website, social channels, your own publications, on an email blast to your people.
In addition to the story, add these elements:
Create an announcement with engaging graphics. Use that announcement everywhere you can—with a press release, in an email, on your website.
Invest in Facebook ads. Facebook ads are pretty cost-effective and allow you to target based on demographic profile and location of the event.
Create videos for your website, email, and social media.
Staff, ministry leaders, and supporters post about the event on their social media.
Post a flyer with your well-designed announcement in local businesses and public places.
Post pictures and content on your social media channels after the event so people know what an amazing time they missed.
Using these communication channels to talk about your ministry’s event should lead to greater attendance, engagement, and a successful outcome that helps you achieve your overall goals. And you will save your youth group from having to eat all that food.
